What it does

Running trucks from a notebook and a load board tab means you never quite know what was delivered, what was invoiced and who still owes you. This spreadsheet is the board on the wall: one line per load, a status you flip as it moves, and a dashboard that reads it all back in real time.

  • Loads tab (150 rows): load #, pickup and delivery dates, driver and broker dropdowns, origin, destination, loaded and empty miles, linehaul, fuel surcharge, accessorials, status, invoice date, paid date and factored Y/N
  • Every load computes gross, total miles, RPM (loaded and all miles), driver pay from that driver's pay model, dispatch fee, factoring fee, margin and margin %, plus days outstanding and an aging bucket for unpaid invoices
  • Board: this week's loads, revenue, miles, dispatch fee and margin (the week is figured from today's date, so it is always current), status counts for Booked / In Transit / Delivered / Invoiced / Paid, revenue per truck, receivables outstanding with 0–30 / 31–60 / 61+ day aging, and your Top 5 brokers by revenue
  • Settings box on the Board: dispatch fee %, factoring fee % and the day your week starts (Monday by default, or Sunday) — every week in the file is labeled by its start date, so the New-Year week is never split
  • Drivers tab (10): name, truck #, pay model dropdown (per mile all miles, per mile loaded, percent of linehaul, flat per load), rate and phone, with lifetime loads, revenue, pay and margin per driver
  • Brokers tab (30): MC #, your credit rating, days to pay and quick-pay % — plus loads, revenue and outstanding $ per broker
  • Weekly Summary: every week of the year — loads, miles, revenue, RPM, driver pay, dispatch fee and margin for any year you type, with the current week highlighted

How it works

  1. Download the .xlsx and open it in Excel, or upload it to Google Drive and open with Google Sheets.
  2. Type your drivers and brokers once, and your dispatch and factoring percentages in the Board's Settings box.
  3. Add each load as a line on the Loads tab, picking the driver, broker and status from the dropdowns.
  4. Update the status and dates as the load moves from Booked to Paid — the Board, aging buckets and Weekly Summary update by themselves.

Who it's for

Independent dispatchers running one to ten trucks, owner-operators who want a receivables view, and small fleet owners who are tired of asking "did that broker pay yet?" Works for dry van, reefer, flatbed, hotshot and power-only.

Questions

Does it work in Google Sheets?

Yes. Upload the .xlsx to Google Drive and open it with Google Sheets (File → Import). Every formula, dropdown and color is standard and works in Excel 2016 or newer, Excel for Mac, Excel 365 and Google Sheets.

How does "this week" know what week it is?

The Board uses your computer's date (TODAY) and the pickup date on each load, so the week view rolls forward automatically with no settings to change. Pick Sunday or Monday as your week start in the Settings box. The Weekly Summary year defaults to the current year; type another year to look back.

What is the refund policy?

Digital files can't be returned once delivered. If something in the file doesn't work as described, message us with the tab and cell and we'll fix it and send the corrected file — or refund you if we can't.
